Job Description Summary
The Lease Administrator supports the Accounting department with lease administration and tenant billing activities across a portfolio of properties. This role executes the day-to-day review and input of lease documents into MRI and supports recurring tenant billing cycles, working closely with onshore lease administration, accounting, and property management teams to keep lease data accurate and billings on schedule. The ideal candidate brings strong attention to detail, accuracy in data entry, and the ability to manage multiple deliverables in a fast-paced environment. Key Accountabilities
Review and input new leases, amendments, and renewals into MRI within established turnaround guidelines
Abstract key lease terms, including commencement and expiration dates, base rent and escalations, recovery provisions, and option rights, and verify them against the executed documents
Prepare tenant billing functions, including monthly and annual billings, late fees, and manual tenant adjustments
Assist in the preparation of the Monthly Leasing Detail Report
Research and resolve lease data and billing discrepancies, coordinating with the onshore lease administration and property management teams through resolution
Maintain a tracker of pending lease inputs and open billing items, escalating aging items to the onshore team
Maintain lease documentation and support document retention requirements for the accounting function
Support quarterly audit documentation and respond to internal and external requests for lease documentation
Partner with the property accounting teams on lease-related inputs affecting monthly close, including new lease setups, rent commencements, and straight-line rent data
Coordinate with property accountants on tenant billing questions, recovery setup, and changes to recurring charges
Provide lease data and abstracts to the Finance team to support forecasting, and leasing assumptions
Assist with ad hoc projects and tasks, as needed, and perform other duties as assigned.
Required Experience
Education
University/College degree consistent with local market expectations for role
College coursework in accounting is a plus.
Experience
2 plus years of lease administration or accounting support experience required
Experience entering and reviewing leases required
Commercial real estate or office portfolio experience is a plus
Experience in a GCC (Global Capability Center), shared services, or BPO environment supporting a US-based team is strongly preferred.
Technical Skills
- Lease Administration
- Experience abstracting and entering lease documents, with an understanding of key commercial lease terms
Knowledge of Department Policies, Processes, and Procedures
- Software Tools & Applications
- Strong MS Excel skills required; familiarity with ERP and accounting systems such as MRI is preferred
Clear written and verbal communication skills in English for coordinating with onshore teams.
