Role Overview
The Supply Chain Executive will support the procurement team across the full purchase cycle — from receiving purchase requirements and sourcing vendors to issuing Purchase Orders, vendor onboarding, and maintaining procurement records for museums, exhibitions, heritage installations, and experience centre projects.
The role requires a candidate with strong coordination and follow-up skills, a good command of Excel and documentation, and an eagerness to learn vendor management and commercial procurement in a fast-paced, project-driven environment.
Key Responsibilities
Handle the end-to-end procurement process, from receiving purchase requirements to issuing Purchase Orders (POs).
Prepare and issue Purchase Orders based on approved requirements, quotations, commercial terms, and negotiated rates.
Identify and source new vendors/suppliers as per project and procurement requirements.
Research and evaluate vendors based on product/service capability, pricing, quality, experience, location, delivery timelines, and commercial terms.
Coordinate with vendors for quotations, rate cards, product catalogues, technical details, company profiles, and other required documents.
Conduct and coordinate Vendor KYC and Due Diligence processes, ensuring that required documents and information are collected and verified.
Maintain and update the vendor database/vendor master, including company details, contact information, GST/PAN details, product categories, and other relevant records.
Coordinate with vendors for PO acceptance, signed PO copies, delivery schedules, and order-related documentation.
Follow up with vendors regarding quotations, pending documents, order confirmation, deliveries, and other procurement requirements.
Compare quotations and prepare commercial comparisons to support procurement decisions.
Ensure that procurement documentation, vendor records, quotations, POs, and related information are properly maintained and updated.
Assist in vendor onboarding and empanelment and ensure vendors complete the required documentation and compliance formalities.
Required Skills & Competencies
Bachelor’s degree in Commerce, Business Administration, Engineering, or a related discipline; MBA / PGDM in Supply Chain, Operations, or Materials Management will be preferred.
Freshers or candidates with up to 1 year of experience in procurement, purchase, or vendor management are welcome to apply.
Basic understanding of the procurement cycle — requirements, RFQs, quotations, comparative statements, Purchase Orders, and delivery follow-ups.
Working knowledge of GST, PAN, invoicing, and basic commercial terms such as payment terms, delivery terms, and warranties.
Strong proficiency in MS Excel for quotation comparisons, trackers, and vendor databases.
Good written and verbal communication skills in English and Hindi for vendor coordination and follow-ups.
Strong attention to detail, documentation discipline, and accuracy in records.
Ability to handle multiple vendors and requirements simultaneously while meeting timelines.
Interest in the experiential, AV, museum, and exhibition industry will be an added advantage.
