Department

Reports to
PPC Manager / Production Manager
Coordinates with
Purchase, Stores, Machining, Fabrication, Assembly, Quality, Subcontract Vendors, Sales/Dispatch

Job Purpose

The Production & Supplier Follow-up Executive makes sure that sub contract items are received as planned. This role tracks production progress on the shop floor and follows up with suppliers and job-work vendors so that castings, machined parts, bought-out items, and processed components arrive on time and to the right quality. The aim is to remove bottlenecks early, prevent assembly delays, and meet customer delivery commitments.

  • Key ResponsibilitiesA. Production Follow-up

Track daily production against the monthly and weekly plan for machining, fabrication, painting, sub-assembly, and final assembly of textile machines.

Monitor work order status and work-in-progress (WIP) at each stage, and highlight jobs that are falling behind schedule.

Prepare and update shortage lists for each machine or order by comparing the BOM with available stock and pending supplies.

Attend daily production review meetings, share status updates, and follow up on actions agreed.

Coordinate between Stores, Machining, and Assembly so components and kits reach the line on time.

Follow up on internal rework, rejections, and quality holds so they are cleared quickly.

Track machine readiness for testing, trial runs, inspection, and dispatch, and update Sales on expected dispatch dates.

Escalate bottlenecks such as machine breakdowns, manpower gaps, or material shortages to the Production Manager with possible solutions.

B. Supplier Follow-up (Bought-out Items)

Get acknowledgment of Purchase Orders from suppliers and confirm committed delivery dates.

Follow up regularly with suppliers of castings, forgings, bearings, gears, motors, drives, electrical panels, sheet metal parts, and fasteners as per delivery schedules.

Expedite urgent and critical items based on production priorities, and keep Purchase and PPC informed of any delay in advance.

Track open POs and maintain a pending delivery report with expected arrival dates.

Visit supplier premises when required to check progress, resolve issues, or speed up deliveries.

Coordinate with Quality on supplier rejections and follow up for replacement or rework.

Make sure suppliers send correct documents such as invoices, test certificates, and inspection reports along with the material.

C. Job Work / Subcontract Vendor Follow-up

Follow up with job-work vendors for machining, heat treatment, grinding, plating, powder coating, and painting.

Track materials sent on returnable delivery challans and make sure they come back on time and in the right quantity.

Share drawings, process requirements, and priorities with vendors clearly to avoid mistakes and delays.

Reconcile material balance with vendors and report pending items to Stores and Accounts.

D. Vendor Performance & Development

Maintain records of on-time delivery and quality performance for each supplier and job-work vendor.

Support the monthly or quarterly vendor rating process.

Identify repeated delays or quality issues and recommend corrective action or alternate vendors to Purchase.

Support new vendor development by sharing requirements and tracking sample or first-lot approvals.

E. Planning Support

Support the PPC team in preparing material requirement plans (MRP) based on the order book and production plan.

Highlight long lead-time items early so purchase orders can be placed on time.

Update delivery schedules in the ERP system and keep planning data accurate.

F. Reporting & Documentation

Prepare daily and weekly reports on production status, shortages, pending supplier deliveries, and job-work status.

Maintain a delay log with reasons and actions taken for each order.

Present the status of critical orders in review meetings with management.

Key Performance Indicators (KPIs)

Performance is typically measured by on-time machine dispatch against plan, reduction in assembly delays caused by material shortages, supplier on-time delivery percentage, timely return of job-work materials, accuracy of shortage and status reports, and how early delays are flagged before they affect production.

Qualification & Experience

Education
Diploma or B.E. in Mechanical / Production Engineering.

Experience: 2–5 years in production follow-up, PPC, or supplier expediting in engineering, machinery, or automotive manufacturing. Experience in textile machinery is preferred.

Skills Required

The role requires the ability to read engineering drawings and BOMs, a basic understanding of machining, fabrication, and assembly processes, and working knowledge of ERP systems (SAP, Oracle, or similar) and MS Excel. Strong follow-up discipline, good communication and negotiation skills with vendors, problem-solving ability, and the ability to handle multiple priorities under pressure are essential. Willingness to travel locally for supplier and vendor visits is expected, and fluency in English and the local language helps in day-to-day vendor coordination.
