Inventory & Stores Manager (Electronics)
About the role
We design and build connected hardware products, including Eyeagle and Resonara. Both depend on hundreds of electronic components, modules, mechanical parts and consumables, used across R&D prototypes, evaluation builds and production runs at our contract manufacturers.
Today there is no formal stores function. Parts are tracked informally, which leads to shortages discovered at the last minute, duplicate orders, and time engineers spend looking for parts instead of designing.
This role exists to fix that. You will set up the stores and inventory system from scratch, and then run it: knowing what we have, where it is, what each product needs, and what to order before we run out. You will own the store end to end.
What you'll do Build the inventory system
Design and set up the inventory system for all Eyeagle and Resonara parts, starting from the current informal records
Create a part-numbering scheme and a clean item master: manufacturer part number, description, package, supplier, unit, storage location, and which products use each part
- Organise the physical store
- bin locations, labelling (barcodes or QR codes), and separate areas for production, R&D and quarantined stock
Choose and implement the right tool for our size: a structured spreadsheet first if needed, then an inventory or ERP system (for example Zoho Inventory, Odoo, ERPNext or Tally), working with finance on the choice
Write the store's standard operating procedures: receiving, issuing, returns, stock counts, and handling of damaged or rejected parts
Run day-to-day store operations
- Receive incoming material
- check quantities, part numbers and documents against purchase orders, and record every receipt
Issue parts against approved requests, and keep every movement recorded so stock levels are always accurate
Run regular cycle counts and a periodic full physical stock check; investigate and resolve discrepancies
Track stock by product and project (Eyeagle, Resonara, R&D), so the cost of each is visible
Manage tools, development kits and test equipment issued to the team
Requisition and replenishment
Work from each product's bill of materials (BOM) to calculate what is needed for every planned build, and flag shortages early
Set and maintain reorder levels and safety stock, taking into account long lead-time parts such as cellular modules, wireless chips and custom mechanical parts
Raise purchase requisitions for the store, for approval as per company policy
Track open orders and follow up with suppliers and distributors on delivery
Maintain a list of approved suppliers and alternate parts, in coordination with the engineering team
Watch for parts going end-of-life or out of stock, and alert engineering early
Production builds and contract manufacturers
Prepare material kits for each production or prototype build, checked against the BOM
Manage stock sent to contract manufacturers: what was supplied, what was used, what came back, and scrap or attrition
Reconcile material after each build so stock records stay accurate
Component handling and storage
Store electronic components correctly: ESD-safe handling and storage, and
moisture-sensitive parts kept in sealed bags or dry cabinets with exposure records (as per J-STD-033)
Track date codes and lots, and issue older stock first (FIFO)
Keep reels, cut tape, trays and loose parts organised and clearly labelled
Manage returned, faulty and field-returned units separately from good stock
Reporting
Maintain clear, up-to-date reports on stock levels, stock value, shortages, open orders and slow-moving or dead stock
Share a regular stores status with the hardware team and management before each planned build
Required
Graduate or diploma (any discipline; Electronics, Mechanical or Commerce background preferred)
3–6 years in stores, inventory or materials management, ideally in electronics manufacturing, an EMS company, or a hardware product company
Has set up or significantly improved an inventory system, not only operated one
Experience with at least one inventory or ERP system (Tally, Zoho, SAP, Odoo, ERPNext or similar)
Strong Excel or Google Sheets skills: lookups, pivot tables, and building simple trackers
Able to read a BOM and understand part numbers, quantities and units
Very careful with detail and records; comfortable doing physical counts and hands-on store work
Clear communication with engineers, suppliers and finance
Nice to have
Familiarity with electronic components: resistors, capacitors, ICs, modules, connectors; reels and cut tape
Knowledge of ESD handling and moisture-sensitive device storage
Experience supplying material to contract manufacturers and reconciling it afterwards
Barcode or QR-based stock tracking
Basic knowledge of GST documentation for inward and outward material
Experience with component distributors (for example Mouser, DigiKey, Element14, or local distributors
