Project & Creative Operations Lead
About TripleDart
TripleDart Digital is an AI-native, full-funnel growth agency built for B2B SaaS. We run paid media, ABM, SEO/GEO, creative, web/CRO and RevOps for 100+ SaaS brands scaling from $5M to $100M+ ARR across the US, Europe and APAC. Clients measure us on qualified pipeline and revenue influenced, and we hold Google Premier, HubSpot Platinum and LinkedIn Corporate Partner status.
Our paid media and ABM programs generate a steady stream of creative work — ad concepts, static and video assets, landing pages, ABM personalization, reporting dashboards. Delivering that at scale, to a US client's expectations, is an operations problem. This role owns it.
Role Summary
You are accountable for the entire paid media and creative operations layer: intake, scoping, scheduling, capacity, SLAs, QC and delivery across the portfolio. Account managers own the client relationship and strategy; you own that what we committed gets built correctly and ships on time.
This is a run-the-system-and-make-it-better role. You've managed delivery at scale before, you know what a healthy ClickUp board looks like, and you don't wait for a miss to find out a process is broken.
What you'll own
Project management across the portfolio
Own intake to delivery for every paid media, ABM and creative request across ~15 accounts: scoping, briefs, estimates, scheduling, dependencies and sign-off.
Run the weekly delivery rhythm — sprint planning, daily stand-ups with pods and creative, and a Friday portfolio review of what shipped, what slipped and why.
Maintain a single, current view of every account's open work, due dates and blockers that an account manager or founder can read in 30 seconds.
SLAs and quality control
Define and enforce SLAs by deliverable type (ad copy, statics, video, landing pages, dashboards, campaign builds) and report adherence weekly.
Build and run the QC layer: checklists, review gates and sign-off before anything reaches a client. Brand, copy, spec, tracking and link checks are non-negotiable.
Track rework and client-reported misses as a defect rate, root-cause them and close the loop with the function that caused them.
Creative operations
Own the creative pipeline end to end: briefing standards, asset specs per channel (Google, LinkedIn, Meta, Reddit, CTV), versioning, approvals and asset handoff to paid media.
Balance load across copy, design, video and web/dev; forecast creative demand from the media plan and staff or reprioritise ahead of the crunch.
Maintain the creative library, naming conventions and templates so nothing ships off-brand or off-spec.
Capacity planning and ClickUp hygiene
ClickUp is the source of truth and you keep it that way: every task scoped, owned, estimated, dated and in the right status. No work outside the system.
Run capacity planning per pod and per function against the retainer scope; flag over-servicing and under-utilisation to leadership monthly.
Own time-tracking discipline and the utilisation and SLA dashboards leadership uses to run the BU.
Client communication
Be the delivery voice on client accounts alongside the account manager: status updates, timelines, revision rounds and expectation-setting on what ships when.
Handle client-facing delivery escalations directly and proactively — before the client raises them.
Cross-functional problem solving
Sit between account management, paid media pods, copy, design, dev and analytics. When something is stuck, you unblock it, and you fix the process so it doesn't stick again.
Document and improve SOPs for recurring work; bring AI and automation (ClickUp automations, n8n, Claude) into intake, QC and reporting to cut manual effort.
How success is measured
Delivery is under control when the client never has to ask where something is.

Who you are
Non-negotiables
5–8 years in project, delivery or operations management, with at least 3 years running delivery at scale — 10+ concurrent client accounts or 50+ live deliverables a month — at a marketing agency, creative studio or SaaS marketing team.
A recognized PM certification: PMP, PRINCE2, CAPM, CSM/PSM or equivalent. Google Project Management or ClickUp certifications are a plus on top, not a substitute.
Expert in ClickUp or an equivalent (Asana, Monday, Jira) — you've designed the workspace, the custom fields, the automations and the dashboards, not just used them.
Hands-on experience running creative operations: briefing, asset specs across paid channels, review and approval cycles, and managing designers, copywriters and video editors' load.
Working knowledge of paid media and ABM delivery — what a campaign build, a landing page or a reporting dashboard needs before it can ship — enough to QC it and estimate it.
Accountability as a reflex. You have owned delivery outcomes personally, carried the miss
