JOB DESCRIPTION Accounts / HR Executive Department Accounts & Human Resources Exe Reports To Operations Head Peer Function Floor Manager Location Corporate Office & Manufacturing Plant Employment Type Full-Time Position Summary The Accounts/HR Executive is a dual-function role reporting to the Operations Head, responsible for day-to-day accounting/finance operations and HR/administration for the company. The role manages bookkeeping, statutory compliance, payroll inputs, and vendor/customer accounts on the finance side, while handling recruitment coordination, employee lifecycle management, attendance/leave, and statutory HR compliance on the people side. The Accounts/HR Executive works closely with the Floor Manager a peer function under the Operations Head for plant manpower needs, attendance data, and vendor/procurement-related accounting. Key Responsibilities A. Accounts & Finance • Maintain day-to-day bookkeeping — sales/purchase entries, vendor and customer invoicing, and ledger reconciliation. • Process vendor payments, customer receivables follow-up, and petty cash management. • Handle bank reconciliation and coordinate with the bank for routine transactions. • Prepare and file statutory returns (GST, TDS) in coordination with the company's CA/auditor. • Maintain expense records and support monthly MIS/financial reporting to the Operations Head. • Coordinate with the Procurement/Store Manager for purchase invoice verification and vendor payment processing. B. Human Resources & Administration • Coordinate recruitment for plant and office roles sourcing, screening, scheduling interviews with the Floor Manager/department heads. • Manage onboarding, induction, and employee documentation for new joiners. • Maintain attendance, leave records and monthly payroll inputs in coordination with relevant department heads. • Ensure statutory HR compliance — PF, ESIC, labour law registers, and other applicable filings. • Maintain employee personnel files, service records and HR documentation. • Support grievance handling, disciplinary documentation, and exit formalities (full & final settlement, relieving letters). C. Coordination & Reporting • Provide the Operations Head with periodic accounts and HR reports (payables/receivables status, headcount, attrition, compliance status). • Liaise with the Floor Manager for shop-floor manpower planning, attendance data and disciplinary matters. • Support internal and statutory audits with accounts and HR documentation as required. Key Result Areas (KRA) 1. Accounts & Compliance • Timely and accurate GST/TDS filing with zero late-filing penalties. • Vendor payments and customer follow-ups processed within agreed timelines. • Books reconciled and MIS submitted to Operations Head by the agreed monthly date. 2. Payroll & HR Compliance • 100% accurate and on-time payroll input processing every month. • Zero non-compliance in PF/ESIC/labour law filings and registers. 3. Recruitment & Onboarding • Fill open positions within the agreed recruitment turnaround time (time-to-hire). • Complete onboarding/documentation for every new joiner within the first week. 4. Employee Records & Documentation • Maintain 100% updated and audit-ready personnel files and HR registers. • Complete exit formalities (Full & final settlement, relieving letter) within the defined timeline for every exit. 5. Coordination & Reporting • Submit accounts and HR MIS reports to the Operations Head on schedule. • Resolve Floor Manager's attendance/manpower/payroll queries within 24–48 hours. Key Performance Indicators (KPIs) • Statutory filing compliance (GST/TDS/PF/ESIC) — on-time % • Payroll accuracy and processing timeliness • Vendor payment / receivables turnaround time • Recruitment time-to-hire • Attrition rate / exit formality turnaround time • Audit findings (accounts & HR documentation) Candidate Requirements Education • Graduate in Commerce/B.Com (mandatory for the accounts function); additional diploma/certification in HR/Payroll Management preferred. • MBA/PGDM in HR or Finance is an advantage but not mandatory. Experience • 4–8 years of combined or independent experience in accounts and HR/administration, ideally in a manufacturing SME environment. • Experience handling both statutory accounting compliance (GST/TDS) and statutory HR compliance (PF/ESIC) is preferred. • Exposure to a manufacturing plant environment (coordinating with shop-floor attendance/payroll) is a strong plus. Knowledge & Skills • Proficiency in Tally/accounting software and MS Excel. • Working knowledge of GST, TDS, PF, ESIC and other applicable statutory requirements. • Basic payroll processing knowledge (attendance-to-payroll cycle). • Recruitment coordination and HR documentation skills. • Good written and verbal communication for coordinating across departments.
