ABOUT US

We run AI-generated video ads, brand films and social content for clients, alongside a growing internal team — developers, motion graphics artists, content writers — all hired and onboarded at the same time projects are being delivered on tight, often same-day timelines. Right now, a lot of that coordination — who's doing what, what's pending client approval, who we're interviewing this week — runs on memory and WhatsApp.

THE ROLE

This role owns the day-to-day operational machine — project tracking, client approvals, hiring coordination, vendor and team follow-ups — so leadership isn't the one chasing every status update. If a client approval sits pending for a week with nobody noticing, or two projects clash for the same person's time, that's this role's gap to close.

WHAT YOU WILL DO

• Track every active client project end-to-end — what stage it's at, what's blocking it, and who owns the next step
• Own client approval tracking — chase anything sitting pending past the reminder window, don't let it go quiet
• Coordinate the hiring pipeline alongside HR — scheduling calls, chasing candidate responses, keeping every open role's pipeline moving instead of stalling
• Onboard new hires operationally — accounts, access, introductions, first-week setup — so day one isn't chaos
• Flag resourcing clashes before they become missed deadlines — two projects needing the same person on the same day
• Keep a single, honest status view across every brand and project running at once
• Chase vendors, freelancers and external partners for anything owed to us
• Set up and enforce simple, repeatable processes — checklists, handoff points, status formats — so nothing depends on one person remembering
• Escalate the right things to leadership at the right time — not everything, not nothing
• Handle day-to-day admin and office operations so the team can focus on delivery

WHAT WE ARE LOOKING FOR

• 3+ years in an operations, project coordination or delivery management role — ideally in an agency, studio or fast-moving small team
• Genuinely organised — not "uses a to-do list," but someone who tracks ten moving things without dropping one
• Comfortable chasing people — clients, candidates, vendors, even leadership — for a status update, politely and repeatedly
• Can build and follow a simple process without over-engineering it
• Clear, direct written communication — updates and follow-ups that don't need decoding
• Comfortable working across very different workstreams in the same day — creative production, hiring, admin
• Calm under tight, same-day-to-next-day deadlines — this is not a slow-moving environment
• Basic comfort with spreadsheets and simple tracking tools; no coding required

BONUS POINTS

• Experience in a creative, video production or digital agency specifically
• Experience coordinating hiring or interview pipelines
• Experience with client-approval or project-tracking tools
• Basic understanding of how AI video/content production actually works

WHAT THIS ROLE IS NOT

• Not a strategy or planning role — you keep the machine running, you don't redesign it every week
• Not a personal assistant role — this is business operations, not calendar management for one person
• Not a slow, once-a-week-status-update job — this needs daily, sometimes hourly, attention
