Retail Store Coordinator

A. Inventory Control

• Maintain accurate physical and system inventory of all products.
• Monitor daily stock receipts, issues, transfers, returns, damages, and adjustments.
• Conduct regular physical stock counts and cycle counts.
• Reconcile physical stock with system stock.
• Identify and investigate inventory variances and take corrective action.
• Maintain proper product-wise and location-wise stock records.
• Monitor fast-moving, slow-moving, non-moving, damaged, and near-expiry inventory.
• Ensure proper implementation of FIFO/FEFO practices.
• Maintain inventory accuracy as per defined company standards.

B. Store Replenishment

• Monitor store inventory levels and identify replenishment requirements.
• Coordinate with warehouse and supply chain teams for timely replenishment.
• Ensure availability of fast-moving and critical SKUs.
• Track stock-outs and excess inventory and highlight issues to the concerned teams.
• Support optimization of store inventory levels based on sales and consumption patterns.

C. Dispatch Coordination

• Prepare daily dispatch plans based on store requirements and approved orders.
• Coordinate picking, packing, staging, loading, and dispatch activities.
• Ensure the right SKU, quantity, batch, and expiry are dispatched to the correct store.
• Coordinate with transporters for vehicle placement and dispatch schedules.
• Ensure all required dispatch documents are prepared and verified.
• Track dispatched shipments until delivery confirmation.
• Follow up on delayed, short, damaged, or rejected deliveries.
• Maintain dispatch records and delivery status.

D. Documentation & MIS

• Maintain GRN, stock transfer, dispatch, return, damage, and delivery records.
• Prepare daily inventory and dispatch MIS.
• Track inventory variance, stock-outs, damages, expiry, and pending deliveries.
• Prepare periodic reports for management review.
• Maintain accurate system transactions and ensure timely data entry.
• Support internal and external inventory audits.

E. Coordination

• Coordinate with Store Operations, Warehouse, Sales, Procurement, Finance, and Transporters.
• Resolve day-to-day inventory and dispatch-related issues.
• Escalate stock discrepancies, delivery delays, and operational risks on time.
• Ensure smooth communication between stores and warehouse teams.
• Support implementation of supply chain and inventory control SOPs.
