Store Executive ( Hospital )
The Store Executive will be responsible for the overall day-to-day functioning and control of hospital stores, including receipt, inspection, storage, inventory management, issue and distribution , consumables, surgical items, housekeeping materials and other hospital requirements.
The position requires strong knowledge of hospital inventory processes, stock control, documentation, FEFO/FIFO, expiry management, indent management, vendor coordination, stock audits and NABH requirements.
Key Responsibilities
Overall Store Operations
Take overall responsibility for the smooth and systematic functioning of hospital stores.
Ensure availability of required medical, surgical, housekeeping and general consumables as per hospital requirements.
Maintain proper segregation, identification, labeling and systematic arrangement of all store items.
Ensure timely receipt and issue of materials against authorized documents/indents.
Coordinate with departments regarding material requirements and stock availability.
Material Receipt & Inspection
Receive materials against approved Purchase Orders and supplier invoices.
Verify quantity, specifications, batch number, expiry date, packaging and physical condition.
Coordinate with concerned departments for quality/specification verification wherever required.
Ensure proper GRN/receipt documentation and discrepancy reporting.
Report damaged, short, excess or incorrect supplies to the Store Manager/Purchase Department.
Inventory & Stock Control
Maintain accurate physical and system-based inventory records.
Monitor minimum, maximum and reorder levels.
Identify slow-moving, non-moving and excess inventory.
Conduct regular stock verification and reconciliation.
Ensure proper FIFO/FEFO practices wherever applicable.
Monitor expiry and near-expiry items and initiate timely action.
Minimize stock-outs, overstocking, pilferage and material wastage.
Issue & Distribution
Issue materials only against authorized requisitions/indents.
Maintain proper documentation for all material issues.
Ensure timely distribution of materials to ICU, OT, Emergency, Wards, Laboratory, Cath Lab, OPD and other departments.
Verify quantity and item details before issue.
Maintain department-wise consumption and issue records wherever applicable.
Hospital Inventory Documentation
Maintain GRN, issue slips, stock registers, indent records, return records, transfer records and other store documentation.
Ensure all records are complete, accurate, traceable and properly filed.
Maintain documentation required for internal and external audits.
Ensure system stock and physical stock remain reconciled.
NABH Compliance
Ensure store practices comply with applicable NABH 6th Edition requirements and hospital policies.
Maintain appropriate records for traceability, storage conditions, expiry monitoring and inventory control.
Ensure proper storage of sterile, non-sterile, consumable and other medical supplies as applicable.
Maintain required temperature/humidity monitoring records for designated storage areas.
Ensure restricted/high-risk items are stored and controlled as per hospital policy.
Support NABH audits, inspections and corrective/preventive actions related to Stores.
Expiry & Near-Expiry Management
Conduct regular expiry/near-expiry checks.
Maintain an expiry monitoring register.
Segregate expired/damaged items from usable stock.
Ensure expired materials are not issued or used.
Coordinate with Purchase/Vendors/concerned departments for replacement or return of near-expiry/expired items as per policy.
Stock Audit & Reconciliation
Conduct periodic physical stock verification.
Investigate and report stock discrepancies.
Prepare stock reconciliation statements.
Support monthly, quarterly and annual inventory audits.
Coordinate with Finance, Purchase, Pharmacy and concerned clinical departments during stock verification.
Vendor & Purchase Coordination
Coordinate with Purchase/Vendors regarding pending supplies, shortages, replacements and returns.
Follow up on outstanding Purchase Orders and critical items.
Inform management regarding frequently unavailable or critical materials.
Assist in identifying appropriate reorder requirements based on consumption trends.
Team Coordination & Supervision
Guide and supervise Store Executives/Store Assistants.
Allocate daily store activities and ensure proper completion.
Monitor staff discipline, attendance and adherence to store procedures.
Train staff regarding proper storage, documentation, inventory handling and NABH requirements.
Required Qualifications
Graduate in any discipline; preferably B.Com/BBA/B.Sc. or equivalent.
Diploma/Certification in Material Management, Inventory Management or Hospital Management will be an advantage.
3–6 years of relevant experience in hospital/healthcare stores is preferred.

Preferred Experience
Candidates with relevant experience in hospital stores, multispecialty hospitals, NABH-accredited hospitals, medical/surgical inventory management or healthcare materials management will be preferred.
Authority & Accountability
The Senior Store Executive shall be accountable for the day-to-day operational control of hospital stores, including material receipt, storage, inventory accuracy, issue/distribution, expiry monitoring, documentation, stock reconciliation and compliance with approved hospital policies and NABH requirements.
