Job Responsibilities – Coordination \& Communication

• Communicate with international clients through email regarding diamond jewelry orders, product specifications, design requirements, and order updates.
• Coordinate with clients to understand their requirements, clarify doubts, and ensure accurate communication of order details.
• Coordinate with internal departments to ensure smooth processing of customer orders from order confirmation to final dispatch.
• Communicate with the CAD Design, Production, Quality Control, and Dispatch departments regarding order status and customer requirements.
• Follow up regularly with concerned departments regarding production progress, pending orders, delivery schedules, and urgent requirements.
• Share order updates, production status, and expected delivery timelines with clients through email.
• Coordinate with the production team to resolve order-related queries, delays, and specification issues.
• Ensure that all client instructions, product specifications, design changes, and special requirements are communicated accurately to the relevant departments.
• Handle client emails professionally and provide timely responses to inquiries and follow-ups.
• Coordinate with clients and internal teams regarding sample approvals, design approvals, product modifications, and order confirmations.
• Maintain regular follow-ups with clients and departments to ensure timely completion and delivery of orders.
• Coordinate with the concerned team to resolve discrepancies in order details, product specifications, quality issues, and delivery commitments.
• Maintain proper communication records, email correspondence, order details, and follow-up reports.
• Prepare and update order tracking sheets, pending order reports, and daily coordination reports in MS Excel.
• Communicate priority orders and urgent client requirements to the concerned departments and management.
• Build and maintain professional relationships with international clients through effective communication and timely coordination.
• Ensure smooth communication between clients, the marketing team, and factory departments to minimize misunderstandings and delays.
• Monitor pending queries and ensure timely closure through continuous follow-up with the concerned persons.
• Coordinate with the management team for order-related updates, client requirements, and important business communications.

Required Skills \& Qualifications

• 2–3 years of experience in the diamond jewelry manufacturing industry.
• Excellent written English communication and professional email drafting skills.
• Strong coordination, follow-up, and client-handling abilities.
• Knowledge of diamond jewelry orders and manufacturing processes will be preferred.
• Good knowledge of MS Excel, MS Office, and email communication.
• Ability to manage multiple client orders, priorities, and deadlines.
• Strong problem-solving, time-management, and organizational skills.
• Ability to coordinate effectively with international clients and internal factory departments.

Important Requirements

• Diamond jewelry manufacturing industry experience is preferred.
• The role primarily involves email communication, order coordination, and back-office activities.
