Job Description

A.Procurement and Vendor Development-

Handle end-to-end procurement of materials and equipment required for Data Centre MEP projects.

Obtain and evaluate quotations from approved and technically qualified suppliers.

Identify potential suppliers, develop vendor relationships, and explore alternative sources to improve cost competitiveness and ensure timely supplies.

Ensure procurement is carried out in accordance with approved makes, technical specifications, BOQ, and project requirements.

Prepare comparative statements, conduct price benchmarking, and recommend suitable suppliers based on commercial and technical considerations.

B. Price Negotiation and Cost Optimization-

Negotiate with suppliers to achieve competitive pricing, favourable commercial terms, and maximum cost savings.

Finalize rates, delivery schedules, payment terms, taxes, freight, warranty, and other commercial conditions.

Monitor price variations and identify opportunities for cost reduction without compromising quality or project requirements.

Ensure procurement is completed within approved budgets and project cost targets.

C. Purchase Order Placement

Prepare and process purchase orders in accordance with company procurement policies and approval procedures.

Ensure purchase orders clearly specify material descriptions, quantities, rates, technical requirements, delivery schedules, payment terms, warranty, and other applicable conditions.

Follow up on pending approvals and ensure timely PO release to suppliers.

Maintain accurate procurement records, including quotations, comparative statements, negotiation details, approvals, and purchase orders.

D. Material Delivery and Expediting

Track supplier order acknowledgements, manufacturing schedules, and committed delivery dates.

Coordinate with suppliers to obtain manufacturing clearances, inspection reports, dispatch approvals, and other required documents.

Regularly follow up with suppliers to ensure materials are delivered as per site requirements and project schedules.

Expedite critical and long-lead materials to avoid delays in project execution.

Escalate potential delivery delays and coordinate with suppliers and project teams to develop recovery plans.

Track material dispatches, transportation, delivery status, and receipt at site.

E. Coordination with Site and Engineering Teams

Coordinate with site teams to understand material requirements, priorities, and required-on-site dates.

Work closely with engineering teams to obtain approved technical specifications, BOQs, drawings, material submittals, and technical clearances.

Resolve procurement-related technical and commercial queries in coordination with the concerned teams.

Ensure materials are procured only against the applicable technical approvals and approved makes.

Participate in project review meetings and provide updates on procurement status, pending actions, and material delivery schedules.

F. Supplier Payment Coordination

Coordinate with suppliers, site teams, stores, and finance/accounts teams to facilitate timely supplier payments.

Follow up for submission of invoices, delivery challans, inspection reports, GRNs, and other supporting documents required for payment processing.

Track payment status against agreed purchase order terms, including advance payments, progressive payments, and payments against delivery or commissioning, wherever applicable.

Resolve invoice discrepancies, payment holds, and documentation issues in coordination with the concerned stakeholders.

G. MIS and Procurement Reporting

Maintain procurement trackers covering PR status, RFQs, quotation receipt, price negotiation, PO placement, manufacturing clearance, delivery commitments, actual deliveries, and payment status.

Prepare regular procurement status reports highlighting pending actions, critical materials, delayed deliveries, and potential project risks.

Maintain records of procurement savings, budget versus actual cost, and supplier performance.

Ensure compliance with company procurement processes, approval matrices, and ERP/SAP procedures.
