Dispatch Officer

Position Summary: The Dispatch In charge is responsible for overseeing the efficient management of dispatch operations, ensuring timely deliveries, maintaining accurate inventory records, and coordinating with various departments to facilitate smooth logistics.

Key Responsibilities

Inventory Management

Maintain accurate records of finished goods inventory levels.

Monitor stock levels to ensure timely deliveries and identify shortages.

Dispatch Planning

Plan daily dispatches in coordination with the sales team, production department, and transporters.

Verify orders and anticipate delivery requirements.

Documentation and Compliance

Prepare and issue invoices and delivery memo for dispatched goods.

Ensure all required documents for dispatch are completed and maintained according to GMP norms.

Logistics Coordination

Coordinate with logistics and delivery teams to ensure on-time shipment arrivals.

Communicate with customers and transporters regarding dispatch schedules and any issues.

Operational Improvement

Implement process improvements to enhance dispatch efficiency.

Resolve any issues that arise during the dispatch process.

Team Leadership

Provide guidance and support to subordinates in their daily activities.

Communicate regularly with senior management and other supply chain members.

Record Maintenance

Maintain all dispatch data in Monitor Plus and Pharma Suit, as well as in hard copy.

Warehouse Security

Ensure the security and proper storage of all finished goods.

Qualifications

Any Graduate.

Strong knowledge of dispatch and inventory management processes.

Excellent communication and coordination skills.

Proficient in relevant software and documentation requirements.

Cooperative and sincere work ethic.

Detail-oriented with a focus on operational excellence.
